About the Company :
Our client is a regulated investment firm with over 20 years of investment experience, specializing in portfolio management for institutional and private clients. As a regulated entity, they hold several licenses allowing the Company to manage discretionary portfolio mandates and act as portfolio manager for they own funds.
Position Overview :
As the investment firm continues to expand its Private Equity activities, they are seeking for a Private Equity Operations Manager to join their growing team in Luxembourg. This role reports to the Head of Operations and sits at the heart of the operational infrastructure, supporting the full lifecycle of PE investments. The ideal candidate combines operational know-how, sound judgment, basic legal awareness, and a collaborative mindset to thrive in a flat, fast-paced organization.
Main Responsibilities :
- Operational oversight of PE fund investments:
o Handle subscription processes, capital calls, distributions, and related workflows.
o Maintain relationships with internal and external stakeholders (AIFM, fund admin,depositary, auditors, legal and accounting teams).
o Ensure operational follow-up of invested assets (multi-jurisdictional exposure).
- Compliance & AML Support:
o Manage AML/KYC processes mainly focused on funds and counterparties.
o Support compliance and regulatory filings in line with AIFMD and Luxembourg regulations.
- Legal & Administrative Coordination / Corporate Goverance :
o Follow-up on contracts, documentation, and governance matters related to fund investments.
o Assist with the review and maintenance of fund and SPV records.
- Back Office & Reporting:
o Liaise with accounting providers for reconciliation and reporting.
o Prepare internal reporting and dashboards using Microsoft tools (especially Excel).
o Maintain high operational standards for data accuracy and timeliness.
Profile
• At least 5 years experience in Private Equity Operations, ideally from an AIFM, domiciliation firm, depositary bank or a family office.
• Bachelor or Master’s degree in Finance, Economics, or a related field.
• Solid understanding of fund subscription mechanics, SPV structure, capital calls, and distributions.
• Exposure to AML/KYC related to funds or counterparties is highly valued.
• Previous involvement in PE fund documentation or middle office tasks is a plus.
• Focused on the success of the team, communicative, entrepreneurial and independent minded.
• Team player attitude with excellent communication.
• Fluent in English, French appreciated and any other language would be an advantage.
